Music Booster Meeting Minutes

November 16, 2015


  1. Minutes were distributed from the October 27th meeting
  2. Upcoming winter concert season:
    1. We were given permission to sell light refreshments (donuts and water) at the Concerts at the high school.
    2. Looking for volunteers to man the tables
      1. 1 to help sell Vespa Tickets for the Education Foundation – To help defray the cost of a music program that was brought in
      2. 2 for the refreshments
  • 1 for manning the doors leading into the auditorium from the hallway to assist with keeping the noise level down during the concert
  1. On Line Volunteer form is up please use it to volunteer for the concerts and keep an eye out for other opportunities to assist at other events
    1. Lorraine volunteered to coordinate the volunteers for the Winter Concert Season
  2. The table will be set up in the same spot that Player’s Club sets up their refreshments.
    1. It would be great if it was people who did not have children performing that evening
    2. If it is people who have children performing that evening then swap off so parents can hear their child’s performance group.
  3. Would have liked to have students assist with manning the auditorium doors but concern was raised about having them being put in an uncomfortable position.
    1. Maybe adult volunteer positioned at the door be the person the students could turn to for assistance if needed.
    2. Looking at other sources of students who need volunteer hours act as ushers, program distribution ,and keeping the doors from slamming.
  4. Samples of signage asking for Quiet and Respect during the performances were shown. The one stating Quiet Please Performance in Progress was selected. It will be put onto bright green poster board, laminated and hung up at each concert.
  1. Jazz Café
    1. Date January 21, 2016
    2. Still need to talk to the officers or students for Theme of Décor
    3. Will be held in the middle school cafeteria
    4. Debated charging or not charging for food at the event.
      1. Donation container set up at the event
      2. Still sell water and coffee
    5. Decided to ask for donation of food
    6. Debated between finger foods ( cheese, crackers and fruit)

and just desserts

  1. Many of the adults arrive before having dinner and the desserts are not what they really want
  1. PTA Council Update
    1. A Parent Program titled: Pathways to Success Program was discussed.
    2. Possible topics for the evening event (maybe over a few different evenings)
      1. Ivy League Schools
        1. How to assist our students to apply and to be accepted by them
          1. Numbers are low and our programs are well noted what is causing the disconnect
          2. What do the Ivy League schools really look for
        2. Sports Scholarship Night
          1. The ins and outs
  • Career in the Arts
    1. Similar to Our idea of Music Career Exploration
    2. Have guidance counselor(s) brought in
    3. Diane was invited to speak at the next PTA Council Meeting about this topic
  1. Career in the Arts sparked our Conversation in returning to the original idea to have an evening for the students to learn about what is out there in the music industry in addition to playing an instrument or performing vocally.
    1. Aim for our May 20th meeting to have an evening of the Arts Careers
      1. Debated increasing to include theater arts, and fine arts
      2. Felt cast a wide net- see who is willing to come to speak to the students and parents and let that define the theme of the evening
  • The invited speakers speak for about 5 to 10 minutes and then be available for students to speak to and ask questions – similar to visiting/chatting with individual representatives from colleges.
  1. Still need a catchy title for the event
  1. Web Traffic to our website
    1. 50+ people went to the site for concert scheduled
    2. Many went when the schedule for elementary lessons were posted
    3. Add Music Scholarships to the site
      1. Need to do research on what is available
      2. Brought up how Dr. Cano offered to assist Sara’s daughter to make a recording as part of her College Application a couple of years ago- not just for students who want to go into a music career. He suggested it as a way to separate oneself from the others applying. Daughter passed on the offer. He does have a goal of putting in a more formal recording studio
    4. Will post NYSMA information when it becomes available
    5. Still need the Opt. Out list before we can post students’ pictures
  2. Miscellaneous:
    1. Need to advertise the Met Life trip that the Jazz Band, Full Orchestra and Chorus do annually
      1. This year it is Dec. 17th
      2. Met Life building’s Lobby at Grand Central Station
  • Noon performance
  1. Many people comment that the quality of the performances is what they expect from a high school that centers on the performing arts. They are amazed that we are a suburban high school that does not specialize.
  1. The Tri- M raised $175.00 through their fund raiser
    1. Proceeds going to the cost of the certificates for the members

Music Booster Meeting Minutes

October 27, 2015


  1. Upcoming winter concert season:
    1. Will be setting up a table at the concerts to promote us and will sell at the concerts that we will be allowed to sell. We will do donuts and water again.
      1. Waiting to hear back from Dr. Capuano for permission
    2. The table will be set up in the same spot that Player’s Club sets up their refreshments.
      1. Looking for volunteers to main the table at the concerts
        1. It would be great if it was people who did not have children performing that evening
        2. If it is people who have children performing that evening then swap off so parents can hear their child’s performance group.
      2. Suggestion was made for setting up an area for people to congregate and eat in to keep trash from going into auditorium
        1. To get people use to it before the upgrades are done
      3. Will be putting up signage like the Player’s Club does asking for Quiet and Respect from the people milling about outside the auditorium since voices carry and ruins the experience for those inside listening to their children performing.
        1. Try to keep area near the doors clear – maybe congregate in the lower part of the hallway.
        2. Send reminders out before the performances asking the audience to be respectful of the performance going on inside.
  • The Player’s Club is able to control the noise level outside it should translate to these performances too.
    1. Mary Ellen Barbieri volunteered to work on the etiquette communication format: flier or announcement or poster or speech
  1. Promotion of the Music Booster Organization
    1. Looking for someone to update or redesign our flier
    2. Ms. Nesh offered to put us on the back of the program to announce our existence.

      1. Over 200
      2. Gmail not updated yet- it is in progress
    4. Student Rep Update
      1. The two present declined speaking.
      2. One was absent due to death in the family
        1. Music Booster Board Members deciding on appropriate expression of condolences
      3. PTA Council Update
        1. Focus was on the Bond since the meeting was prior to the bond Vote
        2. This led to discussion with Mr. Dodge as to what the Bond had in store for the Auditorium
          1. Space of the Band room will not be changing and it is tight when all are present
          2. New stage floor

  1. Faculty Outreach
    1. Jeremy Messmer (MS/HS Chorus)
      1. Getting the Vocal after school groups going
    2. Katherine Ness (Waverly)
      1. Coordinating with Dr. Cano for the family of instruments loan.
      2. Need a volunteer or two to transport the instruments when Ms. Ness is ready.
    3. Mark Dodge (MS Band, HS Tri-M)
      1. Explained the Honor Society
      2. 23 members at the moment
      3. Need to do Fund Raising to pay for Induction
        1. Pins
        2. Honor Society Ropes for the Graduates
      4. Booked March 6th at the Eastchester Library for the Honor Society Members to perform
      5. Going to do some caroling
      6. Looking into setting up a Website that will be linked to District Website.
    4. Jazz Band
      1. Winter Concert will be a Café forum in the Middle School Cafeteria
        1. Asked Mr. Dodge if the officers would like a say in the theme/décor
          1. The adults will put it together
  1. Miscellaneous:
    1. Should have signs up when our groups perform outside of the auditorium – out in the community- maybe like the yard signs or something.
    2. Alumni
      1. Becky Fix called and would like to help out
      2. The idea of having alumni speak about their careers in Music /Arts/Sports is a go- just need to get it organized and off the ground.
    3. Program to connect unwanted instruments in people’s homes to students in need
      1. Mr. Cartolano mentioned maybe the Friends of the Library might be able to help out with the key issue of storage
      2. Asked if Mr Dodge could evaluate the instruments
  • There is a repair person in Yonkers willing to repair- Virgil ?????
    1. He is reasonably priced

Choral Groups Forming!

Two extra curricular vocal groups are being formed:
1. High School a cappella. Auditions are Thursday, November 5. Students are being asked to sing the chorus from a song of their choice. They will sign up for a time slot and sing it without accompaniment. Their range will then be tested. They will need to stick around for a short time after their time slot in order to test their harmonizing skills with other students. Regular rehearsal dates and times tbd.
2. Middle School select chorus. Students may sign up without an audition. All students will be accepted based on teacher recommendations based on student behavior. Students will meet twice a week: one day a week during their lunch period with Ms. Zulli and one day a week after school with Mr. Messmer. Dates and times also tbd.
